Privacy Policy

Invitify (“we”, “us”, “our”) provides an event management and RSVP platform. This policy explains what personal data we collect, how we use it, and your rights regarding that data.
1. Who we are
Invitify (invitify.co.uk) is currently operated by JP Ferreira as an individual, while the service is in a free testing/beta phase. Invitify is expected to operate as a registered UK business from October 2026 — this policy will be updated with the registered company details at that point. 2. Information we collect
Account information (if you sign up to create events): your name and email address, via our authentication provider, Kinde.
Event information: details you provide when creating an event, such as the event name, description, venue address, schedule, and cover image.
Guest and RSVP information: when guests respond to an invitation, we collect their name, email address, RSVP status, number of guests attending, and any dietary requirements they share.
AI assistant conversation: if you use the AI assistant on Step 1 of event creation, the messages you type are sent to our AI provider (OpenAI) to help generate event details. This conversation is stored only in your browser, not on our servers.
Content moderation: cover images you upload and event content you submit for publishing (such as the event title, description, and host name) are sent to OpenAI's content moderation API to screen for prohibited material before being stored or made public. This happens automatically in the background; if content is flagged, it is rejected and never stored.
3. How we use your information
We use this information to:
- Create and manage your account and events
- Send RSVP confirmations and event-related emails
- Display event and guest information to event hosts
- Maintain and improve the security and reliability of the service
4. Who we share information with
We use the following service providers (“processors”) to operate Invitify. They process data on our behalf and under their own privacy policies:
- Kinde— authentication and account management
- Resend— sending transactional emails (RSVP confirmations, invites)
- Amazon Web Services (S3)— storing event cover images
- Unsplash— providing stock images when a host searches for cover images
- Sentry— error monitoring (may log technical details like browser type and IP address when an error occurs)
- Mixpanel— analytics, used to understand how visitors use the site (e.g. which pages are viewed, which buttons are clicked, and an approximate location derived from IP address). This only runs if you accept analytics cookies — see our Cookie Policy. We do not send Mixpanel your name, email, or any account, event, or RSVP data.
- OpenAI— used for two purposes: (1) the AI event-setup assistant sends the conversation text to OpenAI to generate event detail suggestions; (2) cover images and published event content are sent to OpenAI's content moderation API to screen for prohibited material before being stored or made public. In both cases we do not send your account credentials, guest list, or RSVP data to OpenAI. OpenAI's standard API policy does not use this data to train their models.

We do not sell your personal information.
5. Lawful basis for processing
We process account, event, and guest/RSVP data because it is necessary to provide the Service you've asked for (performance of a contract). We process limited technical data (e.g. via Sentry) for our legitimate interest in keeping Invitify secure and reliable. Where we ever rely on your consent — for example, for marketing emails — we will ask for it separately and you can withdraw it at any time.
6. Cookies
We use a small number of cookies that are strictly necessary for the service to function (e.g. to keep you logged in), plus optional analytics cookies that only run if you give consent. See our Cookie Policy for details.
7. How long we keep your data
We retain event, guest, and RSVP data for as long as your account remains active. Hosts can delete a draft (unpublished) event at any time, which immediately deletes its associated guest and RSVP data. Published events can be archived but not individually deleted. When you delete your account — which requires all of your events to be archived first — all of your events and their associated guest, RSVP, and contact data are permanently deleted.
AI assistant conversation history lives in your browser's local storage alongside the rest of your in-progress event draft, and is cleared the same way — either by clearing the draft, or once you complete or abandon the event creation wizard.
8. Your rights
You can request access to, correction of, or deletion of your personal data by emailing us at info@invitify.co.uk, or by using the delete account option in your account settings. Event guests can also contact the event host directly, since the host controls the guest list and can remove a guest's details from an event at any time.
If you're in the UK and unhappy with how we've handled your personal data, you also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
9. Children's privacy
Invitify is not directed at children under 16. We do not knowingly collect personal information from children.
10. International data transfers
Our service providers may process data outside your country of residence, including in the United States. These providers maintain appropriate safeguards for international data transfers. In particular, OpenAI processes AI assistant conversations and content moderation requests in the United States; under OpenAI's standard API data usage policy, this data is not used to train their models and is retained for a limited period (around 30 days) for abuse monitoring — this is different from how consumer ChatGPT handles data.

We may update this policy from time to time. We will post the updated version here with a new “last updated” date.
